Notification Settings
Manage how the system communicates with students, parents, and staff via Email, SMS, and WhatsApp.
1. E-Mail Configuration (SMTP)
Configure the mailing server for sending official emails, liability reports, and password resets directly from your school's domain.
- Toggle Enable Email Notifications to ON.
- Enter your SMTP Host (e.g., `smtp.gmail.com` or `mail.yourdomain.com`).
- Enter the SMTP Port (Usually `587` for TLS or `465` for SSL, `25` for unencrypted).
- Input the Username and Password for the sending email account.
- Define the From Address and From Name (e.g., "admin@school.com", "School Principal").
Before saving, enter an email address into the Test Email field and click Test Connection to confirm the system can authenticate with your mail server.
2. WhatsApp Configuration (MPWA)
Send automated WhatsApp alerts for daily attendance, fee dues, and exam results directly to parent smartphones.
- Toggle Enable WhatsApp Notifications.
- API Endpoint URL: Input the URL pointing to your WhatsApp provider node (e.g., `https://wa.yourprovider.com/send-message`).
- API Key: Paste your secure authentication token.
- Sender Number: Ensure you type the primary phone number attached to the WhatsApp instance.
- Footer Text: (Optional) Enter a signature to append to every automated message, such as "Thank you, Yug International School".
Enter a test phone number (including country code without the "+", e.g. "919876543210") and click Test Connection to trigger an immediate verification message.
3. Event-Specific Communication Grid
The system intelligently routes notifications based on events (e.g., "Student Admitted", "Fee Paid", "Absent Alert"). You hold complete granular control over which channels fire for each event.
- Scroll down to the Notification Triggers grid.
- You will see a list of pre-defined system events.
- For each event, check or uncheck individual boxes to enable/disable Email, SMS, and WhatsApp triggers independently.
- For example, you might want to send a WhatsApp for "Absent Alert", but only send an Email for "Fee Receipt Generated".
- Click Save Notification Preferences.
Do's and Don'ts
| Do's | Don'ts |
|---|---|
| Always use the "Test Connection" tools before saving to catch authentication errors early. | Use personal Gmail passwords in SMTP; always generate an "App Password" via your Google Account security settings. |
| Carefully configure granular event triggers to prevent spamming parents with trivial updates on all channels simultaneously. | Toggle SMS/WhatsApp triggers ON if your provider account lacks sufficient pre-paid credits. |
