Student Extensions

Advanced tools for managing student data in bulk and customizing profiles.

Bulk Operations: Save time during admission season by importing hundreds of records at once.

1. Bulk Import

Upload student data from an Excel/CSV file.

  1. Go to Student Information > Bulk Import.
  2. Download Sample File: Always use the provided template to ensure correct column formatting.
  3. Prepare Data (Critical Columns):
    • admission_no: Must be unique.
    • school_class_name: Must match the spelling in your system EXACTLY (e.g., "Class 1" not "Class-1").
    • section_name: Must match a valid section for that class.
    • gender: "Male" or "Female".
    • date_of_birth: Format YYYY-MM-DD.
    • father_phone: Used to create the Parent Login.
  4. Header Mapping:
    • The system is smart! If your Excel headers don't match exactly (e.g., you have "Student Name" instead of "first_name"), the system will try to map them automatically or likely still process them if standard headers are used.
    • Best Practice: Stick to the headers in the sample file to avoid errors.
  5. Duplicate Check: The system will reject rows with duplicate Admission Numbers or Emails to prevent data corruption.
  6. Select Class & Section (as a default fall-back).
  7. Upload the file and click Import.

2. Custom Fields

Add extra fields to the admission form that are specific to your school.

Result: This new field will immediately appear on the "Student Admission" form.

3. Disable Student

Handle students who have left the school.

4. Online Admission Settings

Configure the public-facing admission form.

Do's and Don'ts

Do's Don'ts
Test "Bulk Import" with just 2-3 rows first to verify columns are mapping correctly. Delete a student record. Always use "Disable" so you can restore them or access their fee history later.
Use "Custom Fields" for medical info (e.g., Blood Group, Allergies) critical for student safety. Make "Custom Fields" mandatory unless absolutely necessary. It might block quick formatting.
